Support multi-profession note taking

While Instinctive Notes could be used by a number of Allied Health professionals there were some gaps where a single patient saw multiple practitioners with different professions.

Instinctive Notes now supports true multi-profession processing, with the following updates when a patient sees practitioners of different professions:

  • Each profession will have their own schedule for the patient. The schedules can be completely different and will not be shown on notes recorded by a different profession

  • Schedules are correctly matched on the Instinctive Notes Web home page so reception staff can book future appointments with the correct profession

  • When copying from a previous note, fields will only copy from a note from the same profession. This means that two practitioners of the same profession can easily copy information between them while other professions stay separate and don’t interfere with the copy

  • This copy behaviour extends to smart copy from, where test results can be copied from the last time test results were recorded. Copying in this case only be from practitioners of the same profession

Instinctive Notes 2.4.13-2.4.15 released

A number of small updates and fixes over a couple of weeks:

  • Upload more document types on M1 Macs

  • Performance improvements to data fetching from Instinctive Notes servers

  • Fix camera aspect and cropping for uploaded attachements

  • Add character count to Medical Alerts to assist with text length limits when sending to Cliniko

  • Allow notes to be deleted from Instinctive Notes App if they are deleted from Instinctive Notes servers

  • Provide better refresh of history when processing No Note appointments

Updates to external notes processing

We have tweaked the processing of external notes to deal with the quirks of each.

For Cliniko:

  • If a note is deleted in Instinctive Notes then delete that note in Cliniko

  • If a note is undeleted in Instinctive Notes then re-send it to Cliniko

For Nookal:

  • No longer send Draft notes to Nookal - at the moment we are unable to update Nookal notes so every time there is an update to Instinctive Notes we create a duplicate in Nookal. As drafts will be updated by design we no longer send draft notes to Nookal. They are sent when they become finalised.

  • When a note is already on Nookal and it is deleted in Instinctive Notes a new note will be posted to Nookal with a “Deleted in Instinctive Notes” comment for clarity

Instinctive Notes 2.4.12 released

Pre-filled notes

Record your notes before an appointment to pre-fill detail you already know and have more time available for your patient.

When a pre-filled note is recorded as draft the appointment will stay in your list ready for processing when you see your patient. The appointment will turn red to remind you that you have pre-filled the note.

You can open and edit an appointment as many times as you like before you see the patient and the appointment will remain in your list.

When it comes to the appointment time just tap the patient’s name as usual and then tap the note you see at the top of the list to do any updates to the note before you save it. Once you save your note after the appointment has started the appointment will be removed from the list as normal.

If you attempt to save a note as final before you have seen the patient Instinctive Notes will warn you that the appointment is in the future and saving as final will remove the appointment from the list. You can still use the Recent Notes list to find and edit the note but there will be no appointment in your list to remind you that you are seeing a patient and that you may need to update your note.

Allow visit deletions

With the arrival of note pre-fill, Instinctive Notes now support visit deletion.

This is because if a visit was created from an appointment which then was cancelled then the visit should be removed.

Alongside removing the visit from the Instinctive Notes App, visit deletion will also remove the visit from display across Instinctive Notes Web, from any visit exports and also process correctly for our external integrations with Cliniko and Nookal.

Major update to Instinctive Notes Infrastructure

We updated, upgraded and refreshed a substantial part of our server infrastructure which improves stability, performance and security into the future.

Since the update we have:

  • Substantially improved response times for the App and Web service

  • Increased capacity of our servers to support future growth

  • Improved deployment times allowing faster fixes of any bugs we find

  • And we’re generally much happier with how it all works together

You may not have noticed it when we did the update but it provides solid improvements across the board.

Home care emails

Once configured Instinctive Notes will automatically send home care emails to patients.

Emails include:

  • Any product prescribed and extra text written

  • All home recommendations and extra text written

  • All details recorded for all exercises

  • All referrals recorded and extra text written

Options are available to set how email replies are processed, what contact information is shown and whether an appointment booking link is shown.

Generate accurate SOAP Note and Attachment counts for clients on Instinctive Notes for Web

Until this point our technical solution for displaying counts of SOAP Notes and Attachments on the Instinctive Notes Web App was unable to deal with archived or deleted records.

This meant that the counts could potentially be incorrect causing confusion. The counts would be different that the items in the lists below.

Today’s update resolves the issue and the counts for both SOAP Notes and Attachments will now be accurate and account for any archived or deleted records.

Improved client search performance in Instinctive Notes Web

This is a bit of a “finally”, but we’ve finally sorted out the performance issues when searching for clients on Instinctive Notes Web.

For a small number of our customers client search was taking a very long time, and led to timeouts which was frustrating.

The new performance changes have improved search performance across the board and since the changes went in we haven’t had a single timeout.

For reception staff, thanks for your patience on this one, it’s great to have it resolved.

Full SOAP Notes display available on Instinctive Notes Web

The display of the full detail recorded for SOAP Notes is now available on Instinctive Notes Web.

From the SOAP Notes tab for a Client the list now includes clickable links which will display the full SOAP Note detail.

Everything recorded in the SOAP Note is included.

Any sections where data is not recorded are not shown so SOAP Note remains clear and easy to read.

When using standard or custom codes, or any other standard lists with abbreviations, the full text will be shown. This greatly enhances the understanding of any notes that you need to send to medical health professionals, insurers or regulators.

Body and range of motion charts are embedded into the SOAP Note if recorded.

If you use a browser which can print to PDF (Safari on a Mac or Google Chrome) you can now get individual PDF prints of your SOAP Notes. Optimised printing, including page breaks will be included in a future update.

Create custom test templates

Practitioners can create their own test templates.

  • Select tests from the master list of tests

  • Order tests in the order that suits you

  • Name the template as you want

  • Access all templates, including the standard All Tests template, during note taking

  • Templates are shared across a practice

  • Practitioners can set favourite templates to gain easy access to the ones you use the most

Searching is available in the All Tests list, both when building a template or selecting tests during a note.

Use Instinctive Notes on M1 Mac’s

Instinctive Notes now runs as a native app on M1 Mac’s.

The iPad version of Instinctive Notes will be shown and features are identical.

Note that Instinctive Notes will not work on older Intel based Mac’s.

  • Favourite adjustment techniques (if you only use a few they can sort to the top)

  • Add Pelvic Bench and Pelvic Bench Fail to adjustment techniques

Add developer type accounts

Developer accounts have access to features to manage and test the Instinctive Notes API.

These accounts have no access to the rest of Instinctive Notes, ensuring the privacy of other patient data stored.

Developer accounts can be managed in Instinctive Notes for Web under the “Settings >> Change Developer Settings” menu.

An owner is required to create the first developer account. After that developers are able to create and deactivate developer accounts as required to support API development.

An Instinctive Notes Premium subscription is required to use the Instinctive Notes API but developers can be created by any Instinctive Notes customer to allow for initial API setup and webhook testing.
